Privacy Policy
Effective date: October 7, 2026
VoiceFlow AI is made by eKIMAT. You speak, and the app turns what you said into a tidy note or a task with a reminder. This page explains exactly what information that involves, where it goes, and what choices you have. We wrote it in plain language on purpose. If anything is unclear, write to us at the address at the bottom.
The short version
There is no account and no sign-in. Your notes, tasks and settings are saved only on your phone. When you finish speaking, the text of what you said (never the audio) is sent to our server and to an AI service so it can be organized, and the result comes straight back to your phone. We don't keep that text. Free users see ads from Google AdMob, and Premium is sold through Google Play.
Your voice
When you tap Speak, the app uses your phone's built-in speech recognition to turn your voice into text. On most Android phones that service is provided by Google, and depending on your phone and its settings, it may process your audio on the device or on Google's servers, under Google's Privacy Policy. VoiceFlow itself does not record, save or upload audio. The microphone is only used while the recording screen is open.
What we send to organize a capture
After you stop speaking, the app sends the following to the VoiceFlow server at ekimat.com:
- the text of what you said (up to 2,000 characters);
- your chosen voice language, your time zone offset, and your phone's region setting (for example "BD"), so that times like "tomorrow at 5" come out right and so we can follow regional rules described below;
- a random install ID the app creates the first time it runs. It is not linked to your name, phone number, email, advertising ID or Google account; it only lets us count daily usage per phone.
Our server forwards the text, with the time and language, to one AI service to do the organizing, and passes the result back to your phone. The AI services we may use are Google Gemini, Groq, and OpenRouter (which routes the request to an AI model from providers such as Google, Qwen or OpenAI). Which one answers depends on which is available at that moment.
Please be aware: some of these services' free tiers may use the text they receive to improve their products. Google's free Gemini tier is one of them, and some free models on OpenRouter are another. Because Google's free-tier terms don't allow serving users in the European Economic Area, the UK or Switzerland, we skip it when your phone's region is in one of those places. Don't dictate anything you wouldn't want an AI provider to see, such as passwords, card numbers or health details.
If our server is unavailable, or you've reached your daily limit, the app organizes the text on your phone instead and nothing is sent.
What our server keeps
The VoiceFlow server does not store the text you dictate or the notes and tasks it produces. It keeps only:
- for each install ID: how many captures were used today, how many in total, the number of days the app has been used, and when it was first and last used. This is deleted automatically after 120 days without use;
- daily totals that aren't linked to any phone (number of requests, which AI service answered, and cost), kept for about 60 days;
- your IP address, which the VoiceFlow service holds only in memory for up to an hour to stop abuse (a limit on requests per hour). Separately, the web server in front of it keeps standard access logs (IP address, time, and the address requested, never the text you send), which are deleted automatically after 14 days.
Information stored on your phone
Your notes, tasks, checklists, reminders, the words you spoke for each capture (shown as "What you said"), your name (if you add one), your settings, and your daily free-capture count are saved on your phone only. They are not sent to us, and there is no cloud backup or sync of your own. If you uninstall the app or clear its data, they are gone and we can't recover them.
Reminders are scheduled by your phone's own notification system. The app asks for permission to use the microphone and to show notifications; you can turn either off in your phone's settings at any time.
Google Calendar (optional)
If you turn on Google Calendar in Settings, the app asks for calendar permission and adds your tasks that have a time (title, time, place and checklist) to the calendar you choose on your phone. Your phone's Google account then syncs those events to Google Calendar, under Google's Privacy Policy. This happens between your phone and Google: nothing goes through our server. The app only changes the events it created, and turning it off removes them.
Ads
If you use the free version, the app shows a banner ad and optional rewarded ads (watch a short ad to get 2 more captures for the day), served by Google AdMob. AdMob may collect your device's advertising ID, your IP address (from which a general location can be estimated), how you interact with ads, and technical diagnostics, to select and measure ads, for analytics and to prevent fraud. In the European Economic Area, the UK and other places where the law requires it, the app first shows Google's consent message, and you can change your answer later under Settings, Privacy choices. You can also reset or delete your advertising ID in your phone's settings. Premium removes ads. See how Google uses information from apps that use its services.
Purchases
Premium subscriptions are handled by Google Play Billing; we never see your card number, billing address or other payment details. When you subscribe or restore a purchase, the app sends the purchase token Google Play gives it, with your install ID, to our server, which checks it with Google Play. The server keeps that token, which plan it is and when it ends, linked to the install ID, so Premium keeps working. It is deleted automatically after 120 days without use.
Sharing
We don't sell your information, and we don't share it with anyone for their own marketing. Apart from the services named above, information only leaves your phone when you choose to share a note or task yourself, using Android's share sheet.
The app does not use analytics or crash-reporting tools.
Children's privacy
VoiceFlow AI is a general-audience productivity app and is not directed at children under 13. We don't knowingly collect personal information from children. If you believe a child has used the app to send us personal information, contact us and we will help remove what we can.
Your choices
- Delete any note or task in the app, or uninstall the app to remove everything stored on your phone.
- Turn off the microphone, notification or calendar permission in your phone's settings, or disconnect Google Calendar in the app.
- Reset or limit your advertising ID in your phone's settings, change your ad consent under Settings, Privacy choices (where offered), or go Premium to remove ads.
- Ask us to delete what our server holds for your phone: see Delete your data.
- Ask us to delete the usage counts for your install: write to us and include the install ID if you can. Because we don't know who you are, we can't look you up any other way.
How we protect information
Everything the app sends travels over an encrypted (HTTPS) connection. Our server only keeps the small usage counts listed above, and the keys for the AI services are kept on the server, never in the app. No system is perfectly secure, but we take reasonable steps to keep things safe.
Changes to this policy
If we change how the app handles information, for example by adding cloud sync or a new AI service, we will update this page and the effective date above first, and if the change is significant we'll try to make that clear in the app.
